About The Role:
The Revenue Operations & Proposal Coordinator supports the day-to-day operations of the Revenue Operations function and the development and coordination of government, commercial, and public-sector proposals. This role requires strong writing, research, organizational, analytical, and project-coordination skills and provides experience across Revenue Operations and proposal development.
The role works cross-functionally with Revenue Operations, Business Development, Sales Enablement, Capture, Legal, Finance, Engineering, Product, and other internal stakeholders.
Key Responsibilities:
Revenue Operations
- Support the day-to-day administration and coordination of Revenue Operations activities.
- Work alongside the Sales Enablement Specialist to maintain pipeline hygiene, including deal stages, close dates, next steps, ownership, required fields, and opportunity documentation.
- Support weekly pipeline reviews, opportunity reporting, and executive sales reporting.
- Support ongoing data cleanup, deduplication, standardization, and quality-control initiatives.
- Support lead management, routing, assignment, and follow-up processes.
- Assist with maintaining accurate company, contact, deal, and opportunity information within HubSpot.
- Support administrative requirements associated with the sales and deal-to-cash process, reporting, research, data analysis, and special projects.
Proposal & Bid Support
- Work collaboratively with Proposal and Capture leads to support RFIs, RFQs, RFPs, tenders, questionnaires, and other formal submissions.
- Review solicitation documents and identify deadlines, mandatory criteria, submission requirements, and required documentation.
- Support compliance matrices, submission checklists, proposal workback schedules, and proposal trackers.
- Draft, edit, proofread, and format proposal content to ensure submissions are clear, accurate, professional, and consistent.
- Coordinate with internal subject-matter experts to gather technical, commercial, legal, financial, and corporate information.
- Track proposal tasks, contributors, internal deadlines, approvals, and outstanding requirements.
- Conduct research related to customers, procurement opportunities, competitors, and solicitation requirements.
- Maintain standardized corporate information, past-performance content, product information, certifications, templates, resumes, and other reusable proposal materials.
- Support final proposal quality-control reviews, document assembly, formatting, submission readiness, post-submission activities, and clarification requests.

- You work effectively with cross-functional stakeholders and exercise discretion with confidential or commercially sensitive information.
- You can adapt quickly when priorities and submission deadlines change.
Qualifications
- Post-secondary diploma or bachelor’s degree in Business Administration, Communications, English, Marketing, Public Administration, Project Management, or a related discipline; an equivalent combination of education and relevant experience will be considered.
- 1–3 years of experience in proposal coordination, sales or revenue operations, business administration, project coordination, procurement support, or a related role.
- Strong professional writing, editing, proofreading, document-formatting, organizational, project-coordination, research, and analytical skills.
- Experience working with a CRM or other structured business system; HubSpot experience is an asset.
- Strong proficiency with Microsoft 365 and the ability to manage data, spreadsheets, reporting, document control, multiple deadlines, and confidential or commercially sensitive information.
Preferred Qualifications
- Experience supporting government, defence, aerospace, public-sector, regulated-industry, technology, engineering, manufacturing, or UAS proposals is an asset.
- Familiarity with RFIs, RFQs, RFPs, tenders, standing offers, RFSA processes, Canadian government procurement portals, U.S. government procurement, or defence contracting environments is preferred.
- Experience with HubSpot, proposal content libraries, compliance matrices, workback schedules, APMP or Shipley methodologies, and AI-assisted professional tools is an asset; HubSpot certification or willingness to complete relevant certification is preferred.
Compensation package:
- Competitive salary: $65,000 – $75,000 CAD
